#5 Assignment Overbooking,
This can cause a problem due the fact you are not sure each assignment will last. This can cause you to come late to the next assignment or even miss it. Both the client and the agency will be very upset with your miscalculations and you can end up not getting any more work for them because of untimely scheduling. I understand you are trying to pack as many jobs in as you can but trying to estimate a signing is risky and unprofessional. You could have a client who wants to read almost all of the document before signing, one the other hand there could that person that has already viewed the docs online and are ready for you when you arrive. You just never know, if you think a job will take one hour i would estimate double (2 hours). This frees you up from making mistakes because you are not rushing.
# 4 Professionalism
I would say the way you look plays a major roles in how clients will speak about you to the agencies that assigned you the job. Although they will not tell what was told to them, they will just move on to someone who they feel will represent them well. Even if you mail, faxed back or emailed the documents in a timely fashion, if the agency receive a bad report they will most likely use you as a last resort. You do not have to be suited up, casual dressing is fine, as long as you are looking presentable to the client. I would recommend a light cologne or none at all. Language plays a big role when attending signing so be aware of your etiquette. You do not want to offend someone by saying the wrong thing to them.
Another part of this is the language and conversations that are made before, during, or after a signing. We have had notaries asked not to be used again because they are using vulgar or inappropriate language in at or around the table. You never know who is listening and might be offended by what you are saying.
# 3. Giving your advice or opinion during a signing.
To me this would be a big mistake. This is something we are told not to do on any assignment. Giving advice can easily get you banned from signing companies. Does not matter how long you have been working in this field and the amount of experience you’ve acquired, you never give advice at any signing. You do not know what a signer situation is may be what they see that may look a little sketchy to them, the only thing you should say is; I can not answer any question in reference to your documents but we can get your agent on the phone and you can discuss it with them if you like. This is as far as you are able to go on this issues.
# 2. Non Communication
When you are assigned a job always confirm with signer at all times. Not confirming with the signer can confuse their time and schedule. you both must be on the same page time wise. I do know sometimes I have called to confirm schedule and some dates were pushed forward or backward, very few though. This could also get in the way of the schedule faxback and delivery time and this need to be communicated immediately to the agency.
#1. Reading instructions or Not reading them
This is a big one, Please make sure you are reading the instructions correctly. Following instructions correctly is very important. Many signings have gone wrong due to the notary not reading the instructions correctly. Notaries get assignments from different companies and the instruction sometime may seem the same but they may have different requirements. This is where the problem arise. You fax back or email the docs and come to find out there was something on the instructions you missed out on and you have to get corrected. If you would have only read the instructions carefully, smooth transition. Every Lender and Title company does things differently, and is not always the same procedure for every signing.Instructions are put in place for a reason. So if you are accepting assignments and not reading the instructions you’re setting yourself up to fail as a mobile notary. If something is missed or not signed correctly your client is going to ask you if you read the instructions. If not, you can bet that company will not be calling you for work again. It’s very simple, READ YOUR INSTRUCTIONS.
